I have no doubt we will haveanother banner year because of all of the hard work that will be done starting with the councils. We have the best knights in the Order here in Florida! A reminder for all District Deputies that you must fill out an expense report using the expense sheetprovided to you on the CD you received at the Organizational meeting in July 2013. Make sure you use the correct form showing $0.30 cents per mile. If you do not have one, please contact me and I will email you one. It must be signed with your personalsignature! Some of you are charging for things that are not covered so please read the back of the form that explains what you can and cannot charge for. Along with the expense report you must provide receipts for any claims other than mileage. All expense reports are to be sent to the Worthy State Deputy and copy me. Please send them by email as a pdfnot a jpeg or image document. Conferring Officers are the same as the District Deputies. You should email your expense sheets to the Worthy State Deputy and copy me.The degree teams should email their State expense sheets directly to me. All Chairman and Coordinators must go through their Directors who will in turn send the expense report to me. You can fill your forms out using your computer because it is in Excel format. Just save it when finished and email it to your director along with any receipts (again in pdf not jpeg or image format). All Councils were either given their per capita at the state convention or was mailed. Please remember itneeds to be paid by July 31, 2014 otherwise a 1% assessment will be imposed for each month it is not paid. Our Order has set new heights for charitable giving and membership growth. Guided by our principals of Charity, Unity, Fraternity, and Patriotism we have much to be proud of. We continue to grow our ranks, while supporting Vocations, Pro-Life Issues, Special Olympics, and a myriad of charitable causes. As we make plans for the future, we are poised to have another successful year. The positive growth, and the success from our past accomplishments, helps to ensure the future of our Order. His dream was for every parish to have a council and every Catholic man to join our ranks. It is up to all of us to ask, and to sponsor, another Catholic man to join us and carry out the dream of Fr. O’Connor DearBrother Knights, As we transition into the new fraternal year starting July 1, I thought that it would be appropriate to reflect on a few things that could get your councils off to a fast start. In early July District Deputies from all of Florida will be gathering with the State Officers, Directors and Chairman at the annual Organization meeting. This meeting will provide District Deputies with the action plan for this coming fraternal year. Armed with materials and information the District Deputies will shortly after the Organizational meeting, conduct their own district meetings with the assigned councils in their areas. One key element is the Council Action Plan – Every Grand Knight is expected to sit with the officers and committee members of his council to plan out the goals and mission of the council for the fraternal year. When you work on your plan, consider listing all the action items that are required to achieve Star Council Status.Be sure to include activities in all the areas required and spread them out throughout the year so that you have the time to achieve all goals. As State Advocate, I have noticed that a number of council’s in the Florida District have not updated their by-laws in many years. One council in particular is operating on by-laws from 1960, which indicates that it probably is a good time to complete the update. By having up-to-date by-laws your council will be able to function properly and if any legal issue arises you will be in a better position to protect your interests. Councils may also want to update their rules for conducting business meetings. Our Order specifies that we follow “Roberts Rules of Order” which is available over the internet. With regard to the by-laws, on the state website under the Advocates Forum there is a link to the “By -Laws-On- Line” template which can walk you through the process. Membership development in your council should include a plan on achieving Star, Double or Triple Star Council Status; consider scheduling several Corporate Communions as a means of sharing the powerful sign of fraternal solidarity with your parish. Combining a Corporate Communion Mass with a membership drive enhances the exposure and reinforces the strength of the council in numbers. Every council should be conducting at least 4 corporate communions per fraternal year. These offer a great opportunity to increase visibility of the council and to invite other parishioners to join in council activities.Corporate communions are often followed by coffee, or a parish breakfast or dinner, to allow members and their families to socialize. At the social event that follows the corporate communion, consider hosting a brief program that showcases the council’s contribution to the parish, or present a donation to parish ministries. Here are a few suggested weekends for conducting a corporate communion Mass. In November-Solemnity of Christ the King In January – Feast of the Epiphany In March – Founders Day (Fr. McGivney) In April-Divine Mercy Sunday In June –Flag Day or Father’s Day Council officers should make arrangements with their pastor to schedule the event and reserve facilities. Make sure the event is mentioned in the parish bulletin and spread the word at least two weeks in advance. This provides enough notice to insure that most members and their families will be able to attend. With the pastor’s permission, council members and members of their families should try to fulfill all the liturgicalfunctions for the Mass such as lectors, extraordinary ministers of the Eucharist, gift bearers, altar servers and ushers.
